At RaveRep, we believe your personal information belongs to you. This Privacy Policy explains what data we collect, how we use it, and your rights regarding your information. We've written this in plain language because we believe transparency builds trust.

How We Use Your Information
Cookies
We use cookies and similar technologies to operate and improve our Service. These fall into three categories:
You can control cookie preferences through your browser settings. Disabling functional cookies may affect your ability to use certain features of the Service.
Marketing Communications
We may send you marketing emails about product updates, new features, tips, and special offers. We will only send these if you have opted in at signup or through your account settings.
You can unsubscribe at any time by clicking the unsubscribe link in any email or updating your preferences in Settings.
SMS / Text Messaging
RaveRep may send text (SMS) messages, such as booking confirmations, appointment reminders, review/rave requests, and account notifications, to mobile numbers that have opted in to receive them. You opt in by providing your mobile number and consenting at the point of collection (for example, when booking an appointment or submitting a form). Consent to receive text messages is not a condition of any purchase.
No sharing of mobile information
Mobile information and SMS consent (including phone numbers collected for text messaging) will not be shared or sold to third parties or affiliates for marketing or promotional purposes. Mobile information may be shared only with subcontractors that support the messaging service, such as message-delivery providers (for example, Twilio). Text messaging originator opt-in data and consent will not be shared with any third parties.
This commitment applies regardless of any other sharing described in this policy: the mobile information and SMS opt-in data covered here are excluded from the “Business Transfers” and other sharing provisions below.
Message frequency
Message frequency varies based on your activity and settings, for example, you may receive a message when a booking is created, when a reminder is due, or when a review request is sent. Recurring messaging programs may send multiple messages per week.
Rates, opt-out, and help
- • Message and data rates may apply. Your mobile carrier's standard rates apply to any messages you send or receive.
- • You can opt out of text messages at any time by replying STOP to any message. You will receive a confirmation and no further messages unless you opt back in.
- • Reply HELP for assistance, or contact us at privacy@raverep.com.
- • Carriers are not liable for delayed or undelivered messages.
We Never Sell Your Data
Our Promise to You
We will never sell, rent, or trade your personal information to third parties. Your data belongs to you. We only use it to provide and improve our services. Period.
Manager & Team Accounts
RaveRep offers team-level accounts where managers can access certain data about the sales representatives they manage.
If you are a rep on a team account:
- • Your manager may have access to your profile data, performance metrics, and activity within the platform as configured by the team account settings.
- • If a team account is closed or you are removed from a team, your personal profile and data remain under your individual account unless you choose to delete it.
- • If you delete your individual account, your data will be removed from our systems within 30 days, subject to any legal or record-keeping obligations.
If you are a manager, you are responsible for ensuring your use of rep data within RaveRep complies with applicable privacy laws and any internal policies governing your organization.
Google API Services & Gmail Integration
Gmail send-only access
When you connect your Gmail account to RaveRep, we request only the https://www.googleapis.com/auth/gmail.send scope. This permission lets RaveRep send emails from your address on your behalf, for example, branded follow-ups, review requests, and customer responses you compose inside the app.
What we do NOT do:
- • We do not read, scan, or store the contents of your inbox.
- • We do not access, modify, or delete emails in your account.
- • We do not use Gmail data to train AI/ML models.
- • We do not transfer your Gmail data to third parties for advertising, analytics, or any purpose unrelated to providing the send-email feature.
- • We do not sell or share your Gmail data with anyone.
What we store:
- • An encrypted OAuth refresh token so we can send emails on your behalf without re-prompting you each time.
- • Your connected Gmail address (so you can see which account is linked).
- • A log of emails sent through RaveRep (recipient, subject, timestamp) for delivery tracking, never the message body of incoming mail.
Disconnecting Gmail:
You can revoke RaveRep's Gmail access at any time from Settings → Integrations → Email → Gmail → Disconnect, or directly at myaccount.google.com/permissions. When you disconnect, we immediately delete your OAuth tokens from our systems.
RaveRep's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Information Sharing
We only share your information in these limited circumstances:
Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with our services. If you delete your account, we will remove your personal data from our active systems within 30 days.
Some information may be retained in encrypted backups for up to 90 days before permanent deletion. We may retain certain information longer if required by law or for legitimate business purposes such as fraud prevention.

Children's Privacy
RaveRep is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will delete it promptly.
Data Security
We implement industry-standard security measures including encryption, secure servers, and regular security audits to protect your information. While no system is 100% secure, we continuously work to safeguard your data against unauthorized access, alteration, or destruction.
In the event of a data breach that may affect your information, we will notify affected users within 72 hours of becoming aware of the incident, in accordance with applicable law.
